  1. Why are we migrating to Cisco VoIP phones?

Our current phone system is antiquated and unstable. We are in need of a replacement system. The University is making it cost effective for us to transition to the UF recommended VoIP system with brand new phones at requested locations.

  2. Will we keep any of our existing advertised phone numbers?

Existing advertised lines may be retained, but extensions will go away

  3. When will we receive our new phone numbers?

Phone numbers will be issued when the final inventory list is submitted to CNS-Telecom. As of 4/20/2011, Departments were reviewing for final count.

  4. What is the timeline for the migration?

Infrastructure changes will take place over the weekend of May 7. Throughout the next couple of weeks, phones will be added to the offices to run in parellel with our existing phone system. The parallel environment will last anywhere from 2 weeks to 4 weeks, but basically will remain intact until the new system installation is fully complete and functional

  5. Can we use multiple rings and hunt groups like we currently have set up?

Yes, these will need to be specified by each area.  If you are not sure if a requested configuration is possible, just ask.  If a requested configuration is not possible, and alternative will be recommended

  6. Will voicemail be retained?

No, all existing voicemail messages (both greetings and stored messages) will be removed and will be no longer accessible after the transition.  Please make appropriate preparations in this regard as we prepare for migration

  7. Can we still use an auto-attendant?

Yes, these can be duplicated on the new system, but the messages will need to be re-recorded

  8. Will our Plantronics headsets still work?

Yes, these are compatible with the Cisco IP phones

  9. When will we receive our new phone numbers?

Numbers will be assigned a couple of weeks prior to the network being ready for phone installation; numbers can be assigned sooner

  10. How long will we keep the old phones for?

The old phones will be in place side-by-side with the new phones until after the users have been properly trained with the new phones and the new system is deemed functional in each office
