Field Trips Utilizing 21st CCLC Funds
It is highly recommended that each sub-grantee review the Field Trip guidance on use of 21st CCLC funds: Field Trip Guidance Form.
When planning a trip, keep in mind that all trips must be:
- Reasonable: What is the cost to benefit ratio? Is the money better spent taking the students on the trip versus the funds being spent in-house?
- Allocable: The trip must provide tangible benefits to students within the project period.
- Necessary:The trip should provide learning that could not be accomplished in the classroom. Tying your curriculum into trips can be a beneficial method to address this concept.
- More Education than Entertainment: Trips construed as primarily entertainment likely will not qualify for reimbursement and may require repayment.
Ultimately, it is the responsibility of each sub-grantee to:
- Review applicable Federal and State laws, regulations, and policies.
- Determine whether the field trip and associated costs are necessary, reasonable, and allocable (provides tangible benefits to students within the project period).
- Ensure field trips are aligned with the program's curriculum and support the goals and objectives of the approved project application.
- Indicate the learning outcomes as a result of the field trip, including identification of pre- and post- measurements.
- Maintain appropriate documentation for audit purposes.
